Planning the entire business event without a coordinator is stressful enough, so we highly suggest select one of our DoC packages. After months planning every aspect of your important event, don’t leave the execution of your final details to chance. Small Business owners often rely on employees, family, or friends to help carry out plans on the day of their business event. When this happens, we often see the last-minute mishaps before the event go unnoticed.

In most cases your “volunteers” have little experience in the role of event planner. They often end up feeling overwhelmed as they try to keep on top of everything that must be done to ensure that the day runs smoothly. Let us help!

Our Deluxe Package

At least a month before your business event, your bDoC will contact you regarding the event and your other vendors.  You should be sure your other vendors have the name of your DoC, as this will be the person handling questions and deliveries and making sure what you have ordered arrives and is set up the way you want it set up.

Some of our activities:

• Set up a detailed schedule for your event. An order of events will make everything run smoothly and your potential customers and guests will appreciate knowing what is going on – and no drag time!
• Be in charge of the layout of the rooms. Your coordinator will be able to tell your vendors where everything will be placed. He/she will also be sure that everything comes in according to your schedule.
• Making sure any specific requirements you have for your catering are set up correctly.
• Coordinating with the catering and bartenders. Your bDoC will work with your caterer and bar team to ensure the food is correct and the bar is stocked based on your order.  The bDoC will also take care of any issues that might occur.  For example, if you run out of something during the event. Your DoC should know what to do and where to find it.
• The DJ or Band: The DoC will show them where they need to set-up and give them the schedule of the event so they know when to expect/announce the time for events to happen.
• Photographer: The bDoC will work with the photographer to facilitate the schedule of photographs that will need the presence of the guest speakers, VIPs, and others.
• The Guests: Your bDoC will be sure that someone is available about 30 minutes prior to the event to help potential customers and guests know:
  • Where to park
  • The location of the events
  • Whether to wait to be seated or to seat themselves
  • Whether to pick up a program or will they be passed out

The Events

During the events, your bDoC will be responsible for:

• Organizing and directing the entrance for:
  • Guest Speakers
  • Special Guests
  • VIPs
• Working with the DJ concerning the music and what songs play at what times.

After the Event

Your DoC will be sure you have provided a list of photos you want taken after the event. This will cut down on the amount of time it takes before you can join your guests.

For Corporate Dinners

Your bDoC will ensure the following for dinner:

• Guests know where to sit
• Coordinate with the DJ for any announced speaker or guest entrances
• Coordinate with any persons giving a prayer or welcome
• Server provide the correct meals to guests (will special dietary needs)
• Coordinate with persons giving speeches, so they know the best place to stand and how to hold the mic.

The Clean-Up / End of Event

Your DoC makes sure that the final details have been taken care of:

• Ensuring props and other gear are loaded
• Tipping/paying vendors
• Ensuring someone will pack up the decorations
• Anything else that is needed!

As you can see, there are many little details that go into making your event special and stress-free! We highly suggest getting a qualified and experienced bDoC with one of our packages.
